Job Description – Shipping Administrator

 

AbBaltis are a groundbreaking, award winning Biotech company working with our customers to help combat Covid-19.  We help researchers worldwide to develop test kits by supplying them with disease state plasma and serum as well as developing our own test kits for research purposes.

The key responsibilities are to:

  • Facilitate and administer shipping and order processes, including Certificates of Analysis, Packing Lists and other relevant documentation
  • Ensure shipments take place in agreed timeframe and information held is accurate and up to date
  • Update Customer database (Workbooks) in an accurate and timely manner
  • Ensure the effective and smooth organisation of the order process
  • Book couriers, ensuring all paperwork is in order
  • Assist Sales Team with sales enquiries and follow up on quotations/samples sent
  • Acknowledge Customer orders
  • Track shipments to ensure they are delivered to the customer in a timely manner
  • Manage correspondence to and from Customers, ensuring this is addressed/responded to as appropriate
  • Ensure excellent service is provided to Customers
  • Office support activities such as taking telephone calls and general office duties
  • Liaise with customs authorities to facilitate clearance of shipments
  • Liaise with Chamber of Commerce to prepare Certificates of Origin and other required export documentation
  • Assist in planning shipment schedules
  • Filing, scanning and photocopying documents
  • Other duties as assigned by Line Manager

The Candidate:

You will require the following:

  • A methodical approach to work with excellent attention to detail is essential
  • Knowledge of Microsoft Office essential
  • Demonstrable experience of managing tasks and deadlines, with the ability to resolve conflicting priorities
  • GCSE Grade C or above in English and Maths
  • Excellent communication skills
  • Ability to build and develop relationships with all team members in the business

This is a part-time role, 5 days a week, and hours are flexible between 8.30am and 3pm.  There is also the flexibility to work from home on occasion.
